Creating a Requisition (Quote)

As stated previously, there are two methods of creating a quote. In the first method A-using the "Products" button-you can browse for items first and then enter user information afterwards to save into a quote. In the second method B-using the Create Quote button-you enter your user information first and then browse to shop for items to purchase.

A. Products ( Shop First, Input User Info Later )
  1. Click on button.

  2. Shop: Browse around the 3 categories (Desktop, Laptop and Printers) and select items for purchase. As you enter the quantities of the items you wish to purchase, the selected items will appear at the bottom of the page in the "Items in Your Quote" table. Once you are done with shopping, click on the Save Quote button at the bottom of the standards list page.

  3. Enter User Info : You will now be asked to enter the necessary user information to be saved with the quote. Input fields that have the symbol are REQUIRED fields. The system will not allow you to proceed if any of the fields are not filled in.

  4. Enter 4 digit password: The 4 digit password will be used in the future to protect the security of your quote. Once you save the quote, you will need the 4 digit password later to access/edit/delete your quote. You may choose to use the same password for all your quotes. However, for maximum security we recommend that you change your password frequently.

  5. Save: Click on the Save button at the bottom of the page to save both the selected items and your user information into a quote. The next page that appears will show your Quote#, time quote was saved along with all the user information that was entered under this quote#.

  6. Edit if necessary: Once you save your quote in 5, at the bottom of the page that shows the saved quote, you will see a series of buttons. If you need to change any part of the quote click on Edit button. If you need to add additional items to your order, click on Continue Shopping button. This will take you back to the UMass standards page.

  7. Submit quote: If you have completed your quote and it does not need any further changes, click the Finalize Quote button to submit your quote to purchasing. Once you Finalize your quote, you will no longer be able to edit/delete your quote so please make sure all information is correct before you click on the Finalize Quote button.

  8. Email/Print: After finalizing your quote, you can email your quote to your purchasing personnel. Click on the Email button to send email to 5 different receipients. Using the Print button, you can also print your quote to keep for your records and to attach to your paper requisition to send to your purchaser.
B. Create Quotes ( Input User Info First, Shop Later )
  1. Click on button.
